Getting Started with Orders

Within the Loyalty platform, an Order refers to a sales transaction made by either a Member, or by an anonymous visitor.

Note: Storing anonymous Orders in the Loyalty database is an optional design decision.

In regards to platform terminology, it’s important to note the distinction between an Order and a Purchase.

An Order record is created when a Point of Sale system or a file import communicates to the Loyalty platform that a sales transaction has occurred. The Order record contains all of the information about the transaction (items, quantities, price, etc.), and the record is stored in the Orders table. Orders are evaluated by Order Rules to calculate any Metric accruals generated from the sales transaction.

A Purchase is an Activity Type that is stored as part of the Member Profile. When the platform receives an Order record, and that Order was made by a known Member, the platform creates the Purchase Activity on that Member’s Profile, and links it to the Order. Purchases are evaluated by an Earn Rule, which will apply the Metric accrual calculated by the Order Rule.

If you store anonymous Orders in your Loyalty database, you can use the Retro Claim feature to retroactively assign an anonymous Order to a Member, and create the Purchase Activity. The Member will then receive any Metric accruals generated from the Order. See Retro Claim an Order for more information.

The Orders screen provides an archive of all past Orders received by the platform through a Point of Sale (POS) integration, or that were imported into the platform. This screen allows you to review the details of an Order, including its date, line items, sub-total, and any Metrics accrued, or punches earned toward a Punch Card.

To access the Orders screen, select Transactions from the top navigation bar, then select Orders > Orders from the side navigation menu.

Exports
